This page explains what Mindbird charges for, what is refunded and what is not, and how to stop. If it and our Terms ever disagree about refunds or cancelling, this page applies.
What we charge today
Nothing. The software is not currently invoiced. Businesses are being onboarded one at a time, and no subscription fee is being collected for the platform while that is the case.
When paid plans begin, the price and the billing period will be shown to you before you are asked to pay, and the terms below will apply. Nobody will be charged under terms they were not shown first.
Free trial
A new workspace starts with a 14-day free trial. No payment details are needed and nothing is charged when it ends. The trial is the time to decide whether Mindbirdsuits you: when it ends, scheduled sending stops until you choose a paid plan. Your inbox and data stay as they are.
How paid plans are billed
Plans are paid in advance, monthly or yearly, and renew automatically at the start of each period until you cancel. Prices are shown without tax; GST at 18% is added and shown on the invoice. If a plan's price changes, you are told before the renewal it applies to, not after.
Moving to a bigger plan takes effect at once, and you pay only the difference for the rest of the current period. Moving to a smaller plan takes effect at the next renewal; the current period is not partly refunded.
What is refunded, and what is not
| Charged in error | A duplicate payment, a charge after you cancelled, a wrong amount, or a payment you did not authorise: refunded in full, including GST. Tell us within 30 days of the charge. |
| An outage that is ours | If Mindbird is unusable for more than 24 hours in a row because of a fault on our side, the affected days are credited to your next bill. If you would rather leave over it, we refund the unused part of that period instead. |
| A period that has started | Not refunded, in whole or in part, once it has begun. Cancelling stops the next renewal; you keep the plan until the end of what you paid for. |
| Unused features or limits | Not refunded. Messages, seats or numbers a plan allows but you did not use do not carry over or come back as money. |
| Setup or onboarding work | Where a separate fee is agreed for setup, training or building flows for you, it is not refunded once that work has been delivered. |
| Meta's conversation charges | Not ours to refund: Meta bills them to your own WhatsApp Business Account, and the money never reaches us (see below). |
| Suspension by Meta, or for breach | No refund if WhatsApp, Meta or we restrict the account because of how it was used, for example spam, purchased contact lists or content Meta forbids. |
What Meta charges, and why we cannot refund it
WhatsApp conversations are priced by Meta and billed by Meta, directly to the payment method on your own WhatsApp Business Account. That money never reaches us, so we have nothing to return. Meta sets those rates, changes them from time to time, and operates its own billing support. We do not sell message credits or hold a wallet balance for you; if that ever changes, this page will say how unused credit is handled before you can buy any.
If you believe Meta has charged you in error, that claim goes to Meta through your WhatsApp Business Account. We will help you gather the delivery records from your workspace to support it.
How to ask for a refund
Write to the operator of this service from the email you sign in with. Include your workspace name, the invoice or payment reference, and what went wrong. We acknowledge within 2 business days and give you a decision within 7 business days, with the reason if it is a no.
An approved refund goes back to the payment method you paid with, with a GST credit note. It usually reaches you in 5 to 10 business days, but the last step is your bank's or card issuer's, and we cannot speed it up.
Please ask us before raising a chargeback with your bank: most problems are fixed faster that way. While a chargeback is open, scheduled sending on the workspace may be paused; your data and inbox are not touched, and sending resumes when it is resolved.
Cancelling
You can cancel whenever you want. There is no notice period and no cancellation fee. Cancelling stops the next renewal; a paid plan stays active until the end of the period already paid for.
Closing the workspace itself stops all sending immediately. Deletion then runs in two stages: the workspace stops at once, and nothing is destroyed for 30 days. Take your export before that window closes, because after it the data is gone and we cannot recover it. The steps are on Delete my data.
Cancelling here does not close your WhatsApp Business Account or stop Meta billing you for conversations. That is a separate account in your own name, and you control it.
If something goes wrong
If the service fails in a way that costs you, such as messages that should have sent and did not, or an outage during a campaign, tell us. We would rather hear it than have you find out from your customers, and a failure of ours is exactly what the outage credit above is for.
